What master data do I need?
For the first go live we need:
- products & product variants
- contacts, customers & supplier
- sales & supplier prices
- chart of accounts, journals, bank accounts

But no worries, we help you gather, clean and import this data.
Do I need an additional product information management system (PIM)?
No! Odoo has a full PIM included and we already set it up to work great for eCommerce companies. If you need any additional fields or information tracked, we can make that happen in no time.
Can I migrate master data from my old ERP or shop system?
Yes – even easier if these data could be extract into the form of a CSV or XLS file but we can run scripts to migrate data from almost any ERP or shop system
If my current Master data quality is poor, should I still migrate it?
Yes, you should migrate your data: the more the merrier! However it is important to clean your data before or during import but not once the data is imported into the ERP.
If my sales order is updated for payment, processing or shipping, how can I distribute this information to my shop & customers?
By using our integrations we can provide you with automatic actions to send emails to your store and your customers every time your sales orders are updated for payment, processing or shipping.
What report do I get for my sales team?
With ERP systems, you can build many reports using live data and conduct analysis of your sales team by playing with filters, tags and grouped by options. It is also possible to visualize this data in several different ways by just changing the view.
What customer service process do I want in my ERP?
With your ERP you might want to manage customer service processes like refunding, returning, exchanging products or even measuring your customers’ satisfaction.
Can the system check shipping addresses?
Yes! We can provide you with an address validation function via our API connection and a custom module.
What manual steps are required to fulfill & invoice a sales order?
There are none, besides taking care of the picking and packing of parcels.
Inventory & warehouse management
What logistics information do I need in my ERP?
You will need the following logistics information in your ERP:
- Define products & product variants
- Define work locations : warehouse & location
- Define lots & serial numbers
- Define the different types of inventory activities
- Define supply chain management: Define individual procurement routes for each product
- Define contacts, customers & suppliers
What inventory features do I need in the ERP if I have a third party logistics provider (3PL) / external warehouse?
If you have a 3PL provider you will need to use inventory features and safe tracking links for your customer in order to keep track of your stocks, send out deliveries and receive incoming deliveries. You will need to use the grouping and sorting capabilities of your ERP to conduct analysis on your inventory.
How can I manage selling bundles?
You can manage selling bundles by decomposing a product sold as a kit, into sub-components each one corresponding to a product registered in your system.
What are the options for automated replenishment?
To manage automatic replenishment, you have the possibility to set up minimum and maximum quantities for your products stocks. To replenish your stocks it is possible to create reordering rules for creating purchase orders for you vendors and it is possible to launch the manufacturing process of your products by connecting bill of materials.
Can the eCommerce ERP support me to forecast and plan my demand?
Yes! It supports you by taking into account the wide range of stock information contained in the system. We can also provide you with an option for live forecasting, in order to generate possible demand for the future, based on past demand. This option will therefore help you to manage your requests for quotations for your vendors.
How do I order from my supplier?
There are three ways to do this:
- creating a request for quotation and sending it by email
- communicating with custom csv or xml format
- using EDI (Electronic Data Interchange) through an aggregator like Procuros
How does the system support me in checking my supplier invoices against prices & deliveries?
Again, you have several options. You can:
- activate features such as quantities billed control by vendors, backorder when the delivered quantities are lower than the requested quantities
- use the 3-way matching features :purchases, receptions and bills to make sure you only pay bills for which you received the goods you have ordered
- check manually by referring to the information in your system.
How do I communicate with a dropshipping supplier efficiently?
We can provide you with a custom small integration XML API, CSV API, SFTP API or rest API that will help you to communicate with a dropshipping supplier efficiently. It is also of course possible to communicate by email with your ERP system.
How does the system comply with one-stop-shop (OSS) regulation?
The ERP will provide you with a mapping for taxes and accounts for every country in order to comply easily with the OSS regulation.
Are there any manual steps in the order-to-cash process in accounting?
No. Orders would only need to be handled outside the warehouse in case of exception.
How can I manage vendor bills (incoming invoices) in my ERP?
Very easily! You can generate vendor bills directly from purchase orders and use an OCR feature like GetMyInvoices, directly integrated into your ERP.
Can I do controlling & cost accounting inside my ERP?
Yes! You can easily manage cost centers and cost incomes with the broad range of analytic accounting features that you could find in the accounting module. The ERP system will help you to track costs of your company, such as costs of purchases, expenses or subcontracting. The ERP will support you to analyze service, product or project performance and provide you solutions to reinvoice time to your clients.
