The challenge – manual processes, missing overview & scattered data

Faced with multiple functional challenges, including manual processes and fragmented data management, our customer’s primary objective was to improve their operations and increase transparency to be able to steer their business strategically. They turned to Odoo as their catalyst for transformation, with goals to automate subscriptions and the subsequent sales journey, and maximize customer data management for informed decision-making.

Our customer grappled with hurdles that required fast and efficient solutions:

  • Manual Subscription Invoicing: Manual subscription invoicing process was labor-intensive and prone to errors, impacting operational efficiency.
  • Lacking Customer Overview: Insufficient overview of their customer base made it challenging to tailor services and track client data effectively.
  • Contract Management: Storing signed contracts in an unstructured manner led to inefficiencies and difficulties in contract retrieval and management-
  • Business Intelligence Limitations: Fragmented data structure restricted our customer’s effective use of business intelligence tools, impeding data-driven decision-making.


The solution – leveraging Odoo 14 for streamlined CRM data integration and subscription automation

To address the aforementioned challenges and enhance the company’s e-learning subscription and internal data management processes, we harnessed the power of Odoo version 14. 

This ensured consistency in customer data by integrating existing CRM systems, thus allowing Odoo to create dynamic dashboards based on now centralized data. It further enabled auto-generation and recurrent billing as a result of integrating Odoo Subscriptions module.

1. Implementation of Odoo Enterprise apps

Odoo’s suite of applications effectively laid the groundwork for this project. We leveraged features from Odoo 14 apps such as CRM, Accounting & Invoicing, Sales, Projects, Timesheets, Sign, Subscriptions and Employees & Contract to optimize processes in sales-related automation and data management.

2. Seamless Odoo integrations with 3rd-party systems

Recognizing our customer’s reliance on existing systems, we ensured a smooth integration of their previous IT systems with Odoo: 

Pipedrive CRM – We seamlessly integrated Odoo and Pipedrive CRM, enabling the extraction and full centralization of essential customer data in a single system.


The result – achieving streamlined sales processes with unified customer data and automated subscriptions

When the company integrated Odoo into their operations, the tangible results were immediate:

  • Automated Subscription Processing: The customer managed to automate their subscription management, resulting in recurrent billing and self-generated subscriptions (as well as subsequent sales journey from Order2Cash) for each one of their available courses.
  • Unified Customer Data: Alongside a third-party integration with Odoo, the customer centralized all client data in a single system, allowing for tailored services that translated themselves in a better overview.
  • Optimized Sales Efficiency: Sales efficiency was improved as a result of the centralization of the entire pricing-to-billing process in one system, and was further enhanced by Odoo’s templates and e-signing capabilities that facilitated contract management.
  • Enhanced Business Intelligence: Unified data structures empowered our customer to properly leverage business intelligence abilities with an efficient dashboard fully based on Odoo data.
