With a rental fleet of currently around 700 campers and stations all across Germany, they are committed to providing their clients with state of the art camper van rental services and equipment. They further organize adventure-based events, from company team buildings to marketing initiatives and festivals.

The challenge – a scattered IT landscape impeding rental processes and financial workflows

Our customer chose Odoo to help them tackle scattered processes and unintegrated systems. They aimed to adopt the right system that would allow them to connect their rental and financial processes and make the most of automations to do so.

Our customer faced significant challenges that needed to be addressed to meet their project goals:

  • Lacking Integration of Backend and Website: Our customer faced hurdles due to missing integrations between their system, customer backend, and website. As a result, our customer did not have an overview across processes

  • Missing Accounting Workflows: Our customer grappled with the absence of operational accounting workflows. Their way of working was overly manual and impeded a smooth functioning of payment-invoicing reconciliation processes
  • Complex Rental and Financial Management: As a direct result of nonexistent or adequate software, our customer struggled to establish efficient processes regarding rental management. This was further emphasized by a disconnect between rental and financial processes, leading to overall operational inefficiencies across client rental management 

The solution – restructuring an entire rental operation with Odoo 

Our customer selected Odoo as a driver for change. They aimed to resolve issues such as disconnection between systems and processes, as well as lack of relevant workflows and inability to automate them.

Odoo allowed our customer to leverage website solutions, and we subsequently provided them with the ability to customize their current website and inject it with Odoo functionalities to enhance their rental capacities. Additionally, our customer managed to introduce new workflows across their operations, some of which included automated financial processes that aided both in sales and accounting management.

1. Implementation of Odoo Enterprise apps

We used Odoo’s suite of applications as a baseline to help build our customer’s success. We leveraged features from Odoo 14 modules such as Sales, Purchase, Rental, and Accounting & Invoicing. This allowed us to introduce the following solutions:

  • Integrated Website/Sales/Rental Solution: We developed a solution that integrated Odoo’s website/sales/rental abilities into our customer’s website.
  • Custom API for Website Integration: We later replaced the Odoo website solution with a custom API integration, ensuring seamless communication between the customer’s website and their existing rental management backend system.
  • Automated Accounting Workflows: We introduced automated accounting workflows, including payment-invoice-reconciliation processes, to streamline financial operations for our customer.

2. Seamless Odoo integrations with 3rd-party systems

We had to take into consideration our customer’s complex landscape, and existing third-party platforms. We successfully integrated these systems with their Odoo environment:

  • PayPal: We helped our customer integrate their existing Payment Service Provider, thus ensuring the seamless connection of all desired payment processes with Odoo
  • Customer Backend: It was crucial that we helped our customer integrate their existing backend system with Odoo, to optimize their client rental contract management and associated sales processes.



The result – fully automated Order2Cash process for van rentals

Integrating Odoo into their daily operations produced clear benefits for our customer:

  • Efficient Rental Contract Management: Thanks to Odoo, our customer was able to efficiently oversee their client rental contracts. Successful integrations allowed them to connect their website with an existing backend system and their new Odoo environment. This allowed them to better access and manage contracts
  • Improved Sales Efficiency: With Odoo, we helped our customer achieve successful integrations between their backend system, their website, and their Payment Service Providers. This resulted in significantly improved sales processes for our customer, who was now able to fully support their rental operations from sales to invoicing
  • Reduced Manual Reconciliation: After struggling with cumbersome financial processes, our customer’s adoption of Odoo allowed them to introduce adequate workflows and automate their payment-invoicing reconciliation process
